How It Works
From sign-up to first booking in under 30 minutes
No infrastructure setup, no IT involvement, no third-party map tools. Deska is self-contained and walks you through each step.
Setup (Day 1)
Workspace provisioning
We provision your secure workspace with isolated data storage, create your organization record, and send your admin an invite link. This takes under five minutes.
Admin onboarding
Your admin logs in and completes a setup checklist: upload a logo, set a brand color, confirm time zone. The checklist guides you through the required steps.
Office setup (1–2 hours)
Create your office
Add your first office location with a name, address, and capacity. If you have multiple offices, add each separately.
Upload your floor plan
Export your office layout as an SVG file (from AutoCAD, Figma, or any vector tool). Upload it to Deska — it becomes the interactive background for desk markers.
Place desk markers
Use the drag-and-drop editor to position a marker for each desk on the floor plan. Assign a code to each desk (e.g., "A1", "Window-3"). Add desks in zones or rows to match your physical layout.
Team invite (30 minutes)
Invite employees
Use the admin panel to send invite emails to your team. Employees click the link, authenticate via Google or email, and are assigned to your organization automatically.
Employees set their schedules
Employees log in and see the floor plan immediately. They can book a desk for a specific date or set a recurring weekly schedule (e.g., "I come in every Tuesday and Thursday").
Ongoing (Daily)
Day-to-day booking
Employees book via the web app or Telegram bot. The floor plan shows real-time availability — available desks in green, booked desks marked. One click to reserve.
Admin occupancy view
Admins see a real-time occupancy view for any date. The admin map shows who is sitting at each desk. Historical data is available for trend analysis.
QR check-in (optional)
Print QR codes for each desk. Employees scan to confirm they showed up. Admins see booked vs. checked-in rates to measure actual vs. expected attendance.
